This step validates the data in your sheets against the mappings you have specified. It will tell you how many records will be imported (new registrants) and how many will be updated (pre-existing registrants).
If no errors are found you will see a message detailing how many records will be imported for the selected Event, how many will be updated for the selected Event and how many will be updated for other Events.
If any issues are found they are identified as either an ‘Error’ or a ‘Warning’.An Error means that a data issue has been found which means that the registration process would not be able to be completed successfully. An example of an Error is an email address which doesn’t contain ‘@’. Without this information the registration will fail, hence the Error label. If any Errors are found, the file upload process will be stopped.
A Warning means that it looks as if the data may not be correct, but it should not impact the registration process. An example of a Warning is the ‘Gender’ field contains an unmapped value. If only Warnings are found, the file upload will succeed.
When a file import fails due to validation errors in the data, you have the following options:
- Adjust the file mapping and retry
- Download a version of your upload file which will have the Errors highlighted in red. If there are any Warnings, these will be highlighted in yellow. Note: If the file only has Warnings and no Errors, the upload will succeed but you will still have the possibility to download the file to see the warnings.

Edit the file and re-upload.
If you click the Download button an Excel spreadsheet will be downloaded. In this file, Errors are highlighted in red and Warnings in yellow.
- Once your file has no errors, click Import Registrants
